eManager is a web-based performance and attendance system used by front-line supervisors and managers to view their employee's attendance and performance records.

eManager allows authorized AA and AE users the ability to view and perform a variety of functions with primary regard to employees' attendance and performance, including:

The redesigned eManager application not only retains current eManager features, it also enables single sine-on through Jetnet. eManager Enhancements include:

The eManager application for new users requires access approval from an eManager Administrator. A list of administrators will be displayed by specific workgroup when signing in as a new user. Current-user access is pre-approved for the new application. If access permissions have been disabled, previous eManager users should contact a local eManager Administrator to have user permissions reinstated.

Managers with direct reports can access eManager via Jetnet by the following steps:

Setup Instructions for first time users requiring access permissions to begin using eManager.

New User Application (back to top)


For first time users of eManager, you must create an account with eManager.  The system will recognize if you are a first time user when you enter eManager and will prompt you to setup your account.  Take the following steps to set up your account:

https://webref.jetnet.aa.com/res/resoffices/images/eManager07.gifOn the next screen, select the organization that you belong to.  If it is not listed, select "Not Shown" from the drop down menu.  You may enter a nickname as your preferred name, which will appear instead of you listed name in the system.  Click the "Next" button to complete the application for eManager.

https://webref.jetnet.aa.com/res/resoffices/images/eManager09.gifAn Administrator list will appear after you have completed the eManager application.  Find an Administrator in your area and contact them to get setup.  Your local administrator will be able to quickly grant your access and may not require an approval from a level 5 manager to get permission to use eManager.  You may want to ask other eManager users in your area for your local Administrator.  If you do not have a local Administrator listed, please contact the AA HR eManager System Administrator or AE HR eManager System Administrator for access.

https://webref.jetnet.aa.com/res/resoffices/images/ATANOTE.gifAmerican Eagle will be rolling out eManager by location.  All AE employees, please wait to be contacted by a local AE Administrator before submitting an application.  The AE roll out will be during the 3rd QTR and depending on your location, may be scheduled for later in the year.  You can contact the AE HR System Administrator for details.

Inactive/Disabled eManager Account (back to top)


If you do not receive a prompt for submitting a new user application, you may already be listed in the eManager database as a previous user.  In this case, you will need to contact a local administrator.  The list can be found on the eManager main page in the upper right hand corner under the "Account" option, then select the "List of Local Administrators" option.  Your administrator can reactivate your account.  They may need a level 5 managers approval before reactivating your account, so please get approval before you call an administrator.

Management approval is required before you can use eManager.  You must have a legitimate reason to use eManager for your specific job function.  The Administrator may require that written approval or email be provided before they give you access permissions to use eManager. The administrators have final authority to accept or deny your eManager application.

eManager automatically sends messages and reminders of employee birthdays, anniversaries, and notifies you when another manager or supervisor has reassigned an agent currently assigned to your list.

        A list of your employees will appear with Name, Employee ID, Hire Date, Company Seniority Occ. Seniority and Home phone.

        You must have entered your employees manually for names to appear on your list.  The system does not automatically assign employees to you.

        You can view an employees file by clicking on their employee number.

        Note: Not all employees have an Occ. Seniority date, therefore the field may be blank.

From the Employee lists you can click on the Employee ID to pull up employee Sharp, AutoTA and Performance discussions:

Depending on your browser and browser settings, you may see the following security pop-up.  Select yes to proceed.  By selecting no, you will be unable to view the employees information.

To create new CR1's and view CR1's created by you, go to "Forms" on the menu bar and select "Employee Discussion (CR-1)" from the drop down.  The following options will be displayed:

PPC entries in eManager only allows you to quickly see that your employee has a PPC Advisory letter in their P-File. Once data is entered in eManager, it cannot be modified.

The following provides a summary of eManager Administrator functionality. 

 

Activating New eManager Accounts: (back to top)


New users do not automatically receive access to eManager functionality.  A new user must go through the eManager Creation wizard to request access to the system.  Once completed, the new user is provided a list of local adminstrators for their work group that have the ability to give access permission rights to use eManager

If you are contacted by a new user, you will follow the steps below to give access permission rights to eManager functionality:

  1. Go to Admin on the menu bar and select "Show New Accounts Awaiting Activation"
  2. From the drop down, find the new user requesting access and click Modify

Has direct reports, Manager or Management Understudy, LOA Coordinator, HR MAS employee, etc.)  You may request that approval is provided by email from their direct manager or MD.

 

Once the user has been located and you click the "Modify" button, the following screen will be displayed:

  1. Account Status:  This should be set to Active.  If you set to InActive, the user will no longer have access permission to eManager.  The Organization is prepopulated from the user's selection on account creation.
  2. Add Tokens: Administrators can add the following tokens, depending on user need.  Simply click in the check box of the tokens you wish to assign.  You can assign more than one token. Administrator tokens should only be given with written approval from the System Administrator:
  3. Modify Permissions: Once you have selected the tokens for the user, click on the "Modify Permissions" button to submit the request.  Advise the user that they can now login to eManager.

Existing users of eManager may request additional access, depending on their job requirements. Additionally, users may be registered as a user, but access has been denied.  This can occur when an employee changes positions, goes on leave, etc.

To update an existing users access permissions, complete the following steps:

Can I use eManager for my job?
Yes, only if your job function requires viewing of employee attendance and performance records.  Typically, supervisors and managers with direct reports use eManager to manage their employees attendance and discussion records.  However,  non-management employees that require the use of eManager can get access with authorization from their manager.  The local eManager administrator may ask for authorization from your manager before providing access, even for management employees.  There must be a legitimate reason to use eManager for your job before access tokens are given. 

I am a first time user of eManager.  How do I get access?
Log into Jetnet and go to the Manager's Tools in the Managers Resource section.  AE employees will go to Manager's Corner.  Click on the eManager link.  If you are a first time user, you will be prompted to complete a new user application.  After submitting the application, you must call a local administrator to request user permissions (tokens), which enable you to use eManager functionality.  The Administrator may ask for approval from your manager, so get approval before you contact an administrator.

How do I know if I am a new user or an existing user with an account disabled?
If you are a new user, you will immediatly be prompted to complete a new user application when launching eManager.  If you click on the eManager link and the eManager main page appears, but you can not use any functionality, your account has been disabled or your user permissions (tokens) have been removed by an administrator.  In this case, you will need to contact a local administrator to request that your account or tokens be re-activated.  You will need your managers approval to re-activate your account.

I used eManager in a previous job, but my account was disabled.  How do I reactivate it?
Contact a local administrator to request that your account or tokens be re-activated.  You will need your managers approval to re-activate your account.  The list of administrators can be found by clicking on "Account" in the upper right hand corner of eManager and selecting "List of Local Administrators".

Why was my account disabled?
eManager accounts can be disabled for various reasons.  The most common is when you change job functions.  The account is automatically disabled for security purposes and you must get approval from your new manager in order for an administrator to re-activate your account.

Can I unhide messages?
No, when you select to hide active messages, you can only view them by going to "Show All Messages".  You do not have the ability to move the message back to your Active Message screen.

Can I send my own messages?
No, that functionality is no longer available with the new application in order to save database space and system resources.  It is recommended that you use the company email system to send and receive messages.

What type of Active messages will eManager send me?
eManager will send advanced notice of employee birthdays and anniversaries, when employees are added or removed from your employee list, when you request a reminder be sent to you when documenting a performance record, etc.

How far in advance am I notified of my employee's anniversary and birthdays?
A message is sent 5 days in advance of your employee's birthday or anniversary.

How do I add employees to my eManager list?
Go to the "My Employee" tab on the menu bar and select "Add Employees".  A search box will appear.  The quickest and easiest way to search for your employee is by employee number, since a group search will give you all employees for the group criteria that you select.  If you search by name, be sure that you spell it correctly and you use the name that is Sharp.  After you find your employee, put a check in the check box and click on the "Add Employees" button. 

Can employees be added automatically when there is a shift bid?
No, this is not currently possible due to the way the reporting relationships are setup in the Sharp database.  eManager cannot automatically define employees/manager reporting relationship, since it varies accross departments.

Can I add any employee to my list?
No, you should only add employees that report directly to you.  If you add an employee that does not report directly to you, it will remove them from their current manager's list.  The current manager will receive an active eManager message indicating that you added their employee to to your list.

How do I view my employee's attendance and performance infomation?
Once you have eManager access permissions to view employee information, go to the "My Employee" tab and select the "Employee quick-view" option.  A list will appear of the employees that you have added.  Click on the employee number of records you would like to view.  If there are no employees on your list, go to the "Add Employees" option.  The employee's Sharp, Calendar, C21, C23 and Performance will be available to view.

How often is the AutoTA information updated in eManager?
eManager receives AutoTA files daily; however, this information can be 24 to 48 hours behind, due to the way attendance data is updated and processed in the AutoTA database. 

How do you change incorrect Sharp information?
eManager only reports information received from a Sharp feed. In order to change Sharp information, you must follow current employee personal information processes.  Please contact your local managerment, if you do not know that process. 

I only see my employees Sharp data, when selecting to view their record, why?
The default view when selecting an employee's record is their sharp data.  You must click on the "Show ...." tabs at the top of the page to view information for those specific sections.  The tabs are Show Sharp, Show Calendar, Show C21, Show Performance, Show C23.  After clicking on the tab, it will change to "Hide ...".  The ability to show or hide any section will help you print the sections that you want.  Once you leave an employees record, your tab settings are not retained and the default view will appear on the next employee.

Can  I view other employees attendance and performance information, not in my group?
Yes, if the employee is in the same city code as you and is not a peer or above you in Job level.  eManager security is setup to only allow managers view within their own city code and levels below them.  Only under certain circumstances will access be given to view records outside of a managers working city and must be approved by a manager.  This access is given only for legitimate job related situations and must be approved by a manager.

Can I delete a performance discussion?
No,  once a performance discussion is entered into eManager it cannot be deleted.  Only authorized HR representatives can delete performance discussions.  You must contact your HR representative to request a deletion.  However, this will only be done in rare circumstances that warrant a removal of a record.  For example, if the CR1 was entered into the wrong employees record.  HR may speak to the legal department for clarification, when making decisions to delete CR1's. 

Can I delete an advisory?

How do I locate my local administrator?
The list of administrators can be found by clicking on "Account" in the upper right hand corner of eManager and selecting "List of Local Administrators".

I would like to become a local administrator for my area, how can that be setup?
Please contact the eManager System Administrator for these requests.  eManager is working on creating a stronger local adminstrator network and would consider adding you to the administrator list, if their is a need at your location.

I can't find a new user on the "New Accounts Awaiting Activation" list, what do I do?
Many times a caller will contact a local administrator asking to activate a new user account.  There are times when the user actually had an existing account which was disabled or tokens removed.  If you cannot find the employee on the "New Accounts Awaiting Activation" list, you should check for their name on the "Modify User Permissions" list.

The following issues have been addressed with the new release effective 03/02/05:

1. Subject Line character limit has been increased from 50 to 255 characters. Previously, when the 50 character limit was exceeded, the complete CR1 entry would not save.

2. CR1s now Sort in the correct date order: YYYYMMDD

3. Added CR1 default sort option by "Created By Date", which may be selected to sort in ascending or descending order off of 'Forms\Employee Discussion'

The following reported bug has been fixed as of 9/15/04 at 10pm. "My employees keep being removed or replaced after I have added them to my list."  You can know add employees to your list without them being removed by the system.

The Group Search option on the All Employee and Add Employee search is slow.

It is recommended that users narrow their search by specific employee or employee name. Users can also do an alpha search by entering the first couple of letters of an employee's last name. This reduces the size of the search. ITS has taken measures to improve performance.

"Logout", "Help", and "Account" links are available on the popup window that user's receives when viewing and employee's performance data. These options should be removed.
